Who we are:

(Businesses Under Development) BUD is a fast growing social enterprise based in London and working nationally. BUD supports leaders for positive change in business and community, closing the gap between corporate and community, building a fairer society.

We do this through a variety of methods including our programmes, training and workshops, consultancy, coaching and events! Our projects and programmes range from:

What we’re building:

We as an organisation hope to initiate a shift in the landscape of corporate leadership and responsibility. Our workshops and programmes are designed to give leaders in all areas of the workforce and community/grassroots organisations the tools to effect change in the way their businesses operate. Our aim is for staff and management to feel equally valued and find common ground so they can share their vision and help build an atmosphere of positivity and inclusivity. We hope to work towards a systemic change across the board, bridging the huge gap between corporate and community, taking ego and power out of the equation and moving towards a fairer and more diverse society.

About you:

Your role will be to offer administrative support to various departments within BUD. This will include general administrative support to the team and executives, HR and L&D Support.

You will be passionate about our organisation and its values (inclusivity, giving more, valuing differences, transparency and openness, being passionate and having fun!)

Job Outline:

  • Hybrid working – 2 days in office (South London)/2 days remote working
  • 4 days per week (30 hours)
  • £22,500 – £27,000 PA (based on experience)

Job duties and responsibilities:

HR & L&D Administration – 40%

  • Being the point of contact for HR and all related admin tasks
  • Contract creation, submissions and onboarding
  • Issuing all info in regards to onboarding and logins for courses.
  • Update files and records for BUD staff team
  • Embedding internal policies around wellbeing
  • Recruitment – advertising any new roles on Indeed and managing applications
  • Learning & Development administrative support
  • Management of all HR folders of documentation
  • Maintaining and helping develop our L&D Folders and records
  • Build, maintain and be up to date with compliance policy documentation including GPDR (data protection), recruitment etc

General Administration and Support – 40%

  • Undertake general administrative duties including taking notes, minutes and sending reminders
  • Email and diary management for executives (PA duties)
  • Checking for incoming enquiries (messenger, chat support etc) and directing to the relevant point of contact.
  • Checking our website regularly for any issues and reporting to relevant point of contact
  • Assisting the Operations Lead – Helping to create procedures manuals and organising our online filing system (SharePoint/OneDrive) and gather data for business reporting
  • Book business travel and/or accommodation where required
  • Invoicing and ensuring invoices are paid on time
  • Managing and chasing debtors
  • Create excel spreadsheets to log invoices, payments affiliated projects and due dates
  • Other general administration tasks

Programme & Delivery/Workshop Support – 20%

  • Schedule training events and workshops, sending diary invites, links and confirming attendance numbers at training sessions and events 
  • Liaise with senior managers, trainers and delegates by  email and sometimes phone
  • Send out feedback/evaluation forms to participants when programmes and workshops have been completed
  • Collect data from feedback and evaluation forms and help prepare reports based on findings.
  • Maintain data of programmes(details of recruited participants, courses and sessions undertaken, progress made)
  • Supporting trainers to deliver sessions online as tech support or in person as assistant (manning VR/slideshows etc and handing out training material)
  • Assist Programmes Managers with maintaining and updating an accurate monthly programme budget, ensuring all invoices are passed to the Finance Officer in a timely manner and recorded against the budget
  • Assist Programmes Manager with writing reports

Skills Required:

  • Proven experience in Administration
  • Excellent time management and organisational skills
  • Ability to multitask/juggle lots of different projects at once
  • Attention to detail/Accuracy with data input and note taking
  • Fast typing speed
  • Experience with office software (in particular Outlook, Excel)
  • Experience with Canva
  • Ability to adapt to new processes and systems quickly
  • Confidence; Ability to ask questions and liaise with various internal contacts in order to get the tasks completed effectively
  • Self motivated and able to work from own initiative

Useful Skills (not essential):

  • Experience in HR
  • Experience with software such as Zoom, CRM i.e. Hubspot, Project Management Software, Miro, OneDrive/Sharepoint
  • Knowledge of Quality Assurance and/or Policies
  • Experience of Finance ie. invoicing, budgeting
